- Troubleshoot via Phone
When Customer Service receives a phone call, they first try to troubleshoot
with the customer over the phone. Through a series of questions, they
determine the problem and, if possible, handle it immediately. Often
times the issue is solved here because Customer Service is educated
and prepared to answer most questions.
- Fill out Customer Service Repair Order
If the Customer Service Representative cannot address the customer's
problem over the phone, a service repair order is completed and given
to either the installer or forwarded to the manufacturer, whichever
is appropriate.
- 48-Hour Response
Usually within 48-hours the customer has received a call back from the
installer or manufacturer. Usually a solution has been decided on and,
if needed, an on-site visit to repair or replace the problem product
is scheduled.
- Customer Call Follow-up
The Customer Service Department will follow up with the customer via
phone to determine that their problem has been or is in the process
of being solved. At this time, Customer Service will address any additional
questions or concerns that may exist.
- Manufacturer Follow-up
To ensure all details have been taken care of, Customer Service often
places a follow-up call to the manufacturer (if the problem was forwarded
to them). They also use this call to learn more about the problem so
they can better assist future customers.
